Which data we process
Depending on how you use our services, we process the following data.
- When you request a trial class or fill in the contact form: your name, email address, phone number and the content of your message.
- When you take out a membership: your name, email address, phone number, the chosen membership, and details of your payment and direct debit mandate. Payment and direct debit are handled by our payment provider Mollie. We receive a confirmation of your payment and payment status from Mollie, but we do not store full bank account or card details ourselves.
- When you visit our website: technical data such as your IP address and information about your device and browser, insofar as this is necessary to operate and secure the website.
Why we process this data
We process your data for the following purposes: handling your trial-class or contact request, entering into and performing your membership (including the 4-weekly direct debit), staying in touch with you as a member, maintaining our membership records, and meeting legal obligations such as the tax retention requirement.
The legal grounds for this are the performance of the agreement with you (your membership), your consent (for a trial-class or contact request), our legitimate interest (sound business operations and security) and compliance with legal obligations.
Children's data
For the youth and kids memberships we process children's data. For children under the age of 16, we ask that a parent or legal guardian completes the registration and gives consent for the processing of the data. Please contact us if you would like us to amend or delete a child's data.
Who we share data with
We only share your data where necessary. We engage the following parties as processors: Mollie for payments and direct debit, and our hosting and email providers for the technical operation of the website and sending confirmations. We enter into data processing agreements with these parties. We do not sell your data to third parties.
How long we keep data
We do not keep your data longer than necessary. Data from a trial-class or contact request is kept for as long as needed to handle your request and for a limited period thereafter. Member data is kept for the duration of your membership and afterwards for as long as legally required. For data in our financial records, the statutory tax retention period of seven years applies.
Security
We take appropriate technical and organisational measures to protect your data against loss or unlawful use. Access to the membership records is secured and limited to authorised persons.
Your rights
You have the right to access, correct or delete your data. You can also object to the processing, have your data transferred, or withdraw consent you have given. To do so, send a request to info@combat-academy.nl. We will respond within the statutory period.
If you have a complaint about how we handle your data, you can report it to us. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Cookies
Our website uses only functional and necessary cookies that are required to operate and secure the site. No consent is needed for these. Should we start using analytical or tracking cookies in the future, we will ask for your consent in advance and update this statement accordingly.
Changes
We may amend this privacy statement. The most recent version is always available on our website, with the date of the last change shown at the top.
